Here comes the day when you find yourself in your new dream office. What a wonderful feeling! Still, something less pleasant first… Moving! Nobody likes this time-consuming process, but with our tips, everything should go smoothly.
Office handover
Representatives of your company with the necessary powers of attorney to sign the handover protocol must be present at the office handover session. We recommend taking your photo record at that time. During office handover, together with a protocol that must be signed by an authorised person, we will also provide access cards and keys to rooms in the office.
Pro tip
There is an option to leave furniture and computer equipment on the premises before they are accepted. Each such request is considered individually by the property manager.
Delivery hours
Delivery of new furniture, office equipment, but also the entire relocation, should be carried out either on weekdays after 6:00 p.m. or at weekends. This minimises inconvenience to other tenants, which you will certainly appreciate once you are among them.
Report and confirm delivery
Any major delivery should be reported in advance to the property manager via an e-mail. Here is the step-by-step procedure that will allow your delivery to navigate potential obstacles and reach your office safely.
MOVING STEP BY STEP
To make sure your moving goes without a hitch, report it to the property manager.
The property manager is responsible for:
- indicating a parking area for delivery vehicles and a route for furniture deliveries,
- defining the rules for the entry of the delivery company’s employees into the building,
- ordering a waste container or extra security for the relocation.
Provide the property manager with a full list of details: the name of the relocation company, the contact details of the people responsible for the moving and the details of the vehicles that will be used during the process.
Provide the property manager with a list of people authorised to move around the building at least one day before the relocation date. Together determine the rules of entry into the building for the moving company’s employees to ensure that they can be easily identified by Retro Office House security staff.
Please also pay attention to the further, but nevertheless equally important, transportation requirements:
- secure the transport route (including lifts) against damage and soiling,
- use hand trucks with rubber wheels that do not soil the floor,
- arrange transport so that traffic routes and lifts are not clogged; other users must be able to use the building as usual,
- put your company name and floor number on any packaging,
- protect the corners of the boxes with tape,
- mark the packaging so that it provides instructions on how to handle the items inside.
REPORTING THE MOVE STEP BY STEP
Log on to globalworth.singufm.com.
Select “New Request”.
Fill in the mandatory fields (marked with a red asterisk):
a) Select the type of notification: “Delivery/Transport”,
b) Specify the priority of the notification,
c) Select the application category,
d) Enter the subject of the report.
Complete the application description and add photos or files if necessary.
Send your application by clicking the “ADD” button.
Delivery zone
Large-size deliveries are brought to the building through a side entrance. Such deliveries are usually overseen by the security staff. All other parcels can be accepted by any entrance.
Lift dimensions
Retro Office House does not have a service lift, so couriers use passenger lifts. In doing so, they should ensure the safety of the crane. For convenience, we have prepared a graphic with the dimensions of the available lifts.
