How do I get my access cards?
Before relocating to Retro Office House, provide the property manager with the number of cards you need and the access profiles that will determine the permissions saved on them. You will do so without violating any GDPR regulations! There is no need for you to share any personal details with the property manager, the cards will be issued to your company. This solution requires you to keep internal records. This should make it possible to determine which employees hold a particular card. All of this is for our mutual security.
You will receive the cards upon handover of the premises.
Card design
Access cards have one standard design and can only be ordered from the property manager. However, you can modify their appearance. For example, if you want to put your company’s logo on the card, you have to secure permission from the property manager first.
Pro tip
Should you need to modify the details on your access card or wish to obtain a new card, please contact the authorised person in the administration department of your company. Only this person is authorised to request this from the property manager and technical manager.
Issuing new cards
You don’t need to worry about the exact number of access cards your company initially needs to have – we can always issue more for a fee! You can request them by sending an e-mail to property manager and technical manager. The request should contain all the data necessary to program them.
NEW ACCESS CARD: STEP BY STEP
Provide the property manager and technical manager with an e-mail request for a new access card. It should include information on which building areas you need access to.
The technical manager orders the cards from the supplier and programs them. It may take some time.
Give the access card received from the technical manager to your employee. Record its serial number and the person using it in your register of cards used by the company.
Access management
Each card can be programmed to give you access to different areas, such as locker room or dedicated office access hours. Choose what you need and customise the card to suit you!
CARD MODIFICATION STEP BY STEP
Provide property manager or technical manager with an e-mail request to modify access data on the access card.
Don’t forget to include the serial number of the card you want to modify.
Changes will be implemented as soon as possible.
Lost or damaged card
One of your employees has lost or damaged their access card? No problem! Simply report its deactivation immediately to block access. The cost of issuing a new card is paid by the tenant. You will receive the card as soon as possible.
ACCESS CARD REPLACEMENT STEP BY STEP
Provide the property manager or technical manager with an e-mail request to deactivate a damaged or lost card. In the request, provide the card serial number.
If the technical team has any cards available, they will program a new one as soon as possible. If not, you will have to wait until the supplier completes the order.
After receiving the new card from the technical manager, hand it to your employee. Enter the new serial number in the company’s access card register.
